The ticket journey does not end at payment. A visitor must find the ticket, understand when it is valid and present it at the correct entrance. Exhibitor guests arrive through a different route, but the entrance team still needs a usable ticket to validate. Plan these journeys together.

Define the days a ticket covers

For a multi-day exhibition, decide whether people buy a ticket for one day, several selected days or the full event. Make the choice and the dates clear before payment. Use the same wording in the website’s ticket selection, the confirmation and the ticket itself.

In IceExpo, visitors can choose the relevant day or days in the exhibition website’s ticket flow. Before opening sales, test each option you actually intend to offer rather than assuming that one successful purchase covers every ticket configuration.

Keep paid tickets and complimentary invitations clear

A complimentary guest ticket is not an unpaid visitor order. Explain who can issue it and when. IceExpo allows a company with a paid stand to send invitations with free tickets to staff, partners and other guests, according to the exhibition’s settings.

Include at least one guest invitation in the rehearsal. Check that the recipient receives the email and can locate the ticket, just as a paying visitor would.

Use branding to help the visitor

IceExpo lets organisers change ticket colours, images and contact information. Keep the event identity, valid dates and a useful contact route readable. Decoration should not compete with the QR code or the information entrance staff need.

  • Buy one ticket for each configured option.
  • Send a company guest invitation.
  • Check the email and ticket on a phone.
  • Validate each ticket with the scanning app.
  • Agree how staff should escalate a rejected or unclear ticket.

Confirm the payment and scanning setup

Organiser payment settings can use the organiser’s own account with a supported payment provider. Confirm that provider and the intended payment flow before announcing ticket sales. Avoid describing this as compatibility with every payment service.

The scanning app validates tickets at the entrance. Test the actual devices and connection at the venue and give staff a clear support route. Do not plan around offline scanning unless that capability has been separately confirmed for your setup.
