A floor plan needs to answer two different questions: how is the hall arranged, and what can an exhibitor buy? A grid makes the first question easier. Clear grouping and pricing make the second one easier. Treating both as the same thing can make quotations confusing.
Start with a measurable layout
IceExpo’s custom SVG editor uses a grid of 1 × 1 metre squares. Arrange the exhibition space, place stands and add labels and icons so people can understand the layout. Keep entrances, circulation routes and other non-sale areas recognisable.
The grid provides a planning unit; it does not automatically establish which parts of a real venue are suitable for sale. Confirm the venue dimensions and layout constraints before creating the commercial plan.
Decide what the company is buying
A company may buy individual square metres or a group presented as one stand. Give the group a clear identifier and describe its total area. The same physical area should be understandable in the drawing, the company assignment and the order.
For illustration only, four squares at USD 300 each would total USD 1,200 if sold separately. A grouped 4 m² stand could instead have a configured price of USD 1,000. These are example organiser prices, not IceExpo software pricing or a suggested market rate.
Keep the group price explicit
A group price may be lower or higher than the sum of its squares. Do not make the sales team reconstruct that decision every time. Configure the intended selling price, then review the order if a negotiated adjustment is needed.
- Check the stand identifier and area.
- Check whether the order uses individual squares or the complete group.
- Confirm the agreed price before sending the invoice.
- Record the company assignment and maintain the displayed availability.
Review changes before selling more space
When a layout changes, review the existing company assignments and prices as well as the drawing. Moving a label is not the same as changing what an exhibitor has bought. Keep last year’s plan visibly separate if you use it as a reference on the website.
