An exhibition is more than an event registration form. Organisers also manage physical space, companies, invoices and the information visitors need before arriving. When comparing exhibition management software, start with these connections rather than the length of a feature list.

Start with a real exhibition

Prepare a short demonstration brief: your venue, an example stand, one company, two ticket options and the dates of the next edition. Ask each supplier to work through the same brief. This makes differences in the process easier to see than a presentation of unrelated screens.

  • Can the team publish and update the exhibition website?
  • Can a floor-plan space be linked to the company buying it?
  • Can the agreed price, invoice and payment status be followed together?
  • Can the ticket sold online be validated at the entrance?

Follow a stand from plan to payment

Choose a stand with an unusual size or negotiated price. Ask how the organiser assigns it, changes the order price and sends the invoice. Then check how an unpaid order appears and who follows it up. A coloured floor plan is useful, but it does not by itself explain the commercial status of a stand.

Separate ticket sales from company orders

Visitor admission and exhibitor space are different transactions. Your evaluation should include paid visitor tickets and complimentary invitations from exhibitors. Test the handover to entrance staff as well as the purchase: what does the scanner show, and how does the team handle a ticket that cannot be accepted?

Check what stays under your control

Confirm the domain, supported payment providers, reporting access and tracking setup. Ask which account receives payments and which costs are covered by the proposal. If you use Google Tag Manager, identify the container for this exhibition instead of assuming tracking is automatically configured.

Plan the next edition before choosing

Ask the supplier to show how an earlier exhibition becomes the starting point for a new one. Check which pages and settings are copied and which dates, prices and operational records need attention.
